Terms & Conditions (Terms of Service)

These Terms of Service ("Terms") govern your access to and use of the PermitPilot website, applications, tools, and services (collectively, the "Service"), provided by The Joolt Group LLC ("PermitPilot," "we," "us," or "our"). By accessing or using the Service, you agree to these Terms.

If you are using the Service on behalf of an organization (e.g., a property management company), you represent and warrant that you have authority to bind that organization, and "you" includes the organization.

1) The Service (What We Provide)

PermitPilot provides process-driven tools to help short-term rental ("STR") hosts and property managers organize compliance-related tasks, evaluate listing content against configured jurisdiction rules, track documents and renewals, and generate packets and reports.

The Service may include:

  • Listing compliance scans and audits (deterministic checks)
  • Compliance checklists and readiness gates
  • Evidence storage ("Proof Vault")
  • Compliance packets and periodic reports
  • Renewal assistance workflows (DIY export and/or full-service submission support)
  • License verification workflows (manual evidence-first and limited best-effort lookups)
  • AI-assisted drafting and guidance for fixes, reminders, and communications

2) Not Legal Advice; No Guarantees of Compliance

PermitPilot is not a law firm and does not provide legal advice. The Service is for informational and administrative support purposes only.

  • Compliance requirements can vary, change, or be interpreted differently by jurisdictions.
  • The Service may be based on user-provided data and public information that can be incomplete or outdated.
  • You remain solely responsible for complying with applicable laws, regulations, ordinances, contracts (including HOA rules), platform policies (Airbnb, Vrbo, etc.), and for the accuracy of your submissions and representations.

We do not guarantee that your listing will be compliant, approved, accepted, renewed, or remain listed on any platform.

3) Eligibility & Account

You must be at least 18 years old to use the Service. You are responsible for:

  • maintaining the confidentiality of your login credentials,
  • all activity under your account,
  • keeping your account information accurate and up to date.

We may suspend or terminate accounts for violations of these Terms or misuse.

4) Customer vs Internal Admin Roles

The Service may include:

  • customer-facing dashboards for hosts/property managers ("Customer Areas"), and
  • internal administrative tools ("Admin Areas").

Access to Admin Areas is limited to authorized internal PermitPilot personnel. Attempted access or misuse is prohibited.

5) Plans, Subscriptions, and Billing

5.1 Subscription Plans

The Service may offer tiered plans with limits such as property counts, audit frequency, reporting features, exports, and monitoring cadence. Plan details are described on our pricing page or in-app.

5.2 Billing Provider

Payments may be processed by a third-party provider (e.g., Stripe). Your payment information is handled by that provider under its terms and privacy policies.

5.3 Renewals, Changes, and Cancellations

Unless otherwise stated:

  • subscriptions renew automatically at the end of each billing cycle,
  • you may cancel at any time (cancellation becomes effective at the end of the current paid term),
  • we may change plan pricing or features with reasonable notice, as allowed by law.

5.4 Taxes

You are responsible for all applicable taxes unless otherwise stated.

5.5 Refunds

Except where required by law, payments are non-refundable. We may provide refunds or credits at our discretion.

6) Renewal Concierge / Submission Assistance (If Offered)

If you purchase a "Renewal Concierge," "Submission," or similar service:

  • We provide administrative support such as assembling documents you provide, preparing cover emails/packets, and (if selected) submitting via email or mail based on configured submission instructions.
  • We do not guarantee acceptance or approval and cannot control processing times, portal availability, jurisdiction decisions, or third-party actions.

You are responsible for:

  • accuracy and completeness of information and documents you provide,
  • meeting submission deadlines,
  • maintaining any required registrations, licenses, taxes, and disclosures.

We may refuse or pause concierge submission if:

  • required documents are missing,
  • information appears inaccurate,
  • the jurisdiction process is unclear or blocked,
  • there is suspected fraud or misuse.

7) License Verification & External Lookups

Some jurisdictions provide public search tools or portals. PermitPilot may support:

  • manual evidence-first verification (user uploads screenshots/text), and
  • limited best-effort lookup where available.

We do not guarantee that external lookup links will work, remain accessible, or reflect the latest status.

8) User Content & Evidence Vault

You may upload documents, screenshots, text, and other materials ("User Content"). You retain ownership of User Content, but you grant us a limited license to host, store, process, and display it solely to provide the Service.

You represent and warrant that:

  • you have rights to upload and use the content,
  • the content does not violate laws or third-party rights.

We may remove content that violates these Terms or laws.

9) AI Features (Important)

Some Service features may use AI/LLM technology to draft text, summarize, propose next steps, or create templates. AI outputs:

  • may be incorrect, incomplete, or inappropriate,
  • must be reviewed by you before use,
  • are not legal advice.

We may log AI requests/responses for quality, security, and improvement, subject to our Privacy Policy.

10) Acceptable Use

You agree not to:

  • use the Service for unlawful activities,
  • upload malicious code or content,
  • attempt to access other users' data,
  • bypass security, rate limits, or permissions,
  • scrape, reverse engineer, or interfere with the Service,
  • use the Service to send spam or unauthorized communications.

We may suspend or terminate access for violations.

11) Intellectual Property

The Service, including software, templates, designs, and content (excluding User Content), is owned by PermitPilot and protected by intellectual property laws. You receive a limited, non-exclusive, non-transferable license to use the Service during your subscription term.

12) Third-Party Services and Links

The Service may reference third-party sites (government portals, platform listings, payment providers). We are not responsible for their content, availability, or actions.

13) Disclaimers

THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE." TO THE MAXIMUM EXTENT PERMITTED BY LAW, WE DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT.

14) Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW:

  • PERMITPILOT WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, REVENUE, DATA, OR GOODWILL.
  • OUR TOTAL LIABILITY FOR ANY CLAIM RELATING TO THE SERVICE WILL NOT EXCEED THE AMOUNT YOU PAID TO PERMITPILOT IN THE 3 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM (OR $100 IF YOU PAID NOTHING), WHICHEVER IS GREATER.

Some jurisdictions do not allow certain limitations; in those cases, these limitations apply to the fullest extent allowed.

15) Indemnification

You agree to indemnify and hold harmless PermitPilot from claims arising out of:

  • your use of the Service,
  • your User Content,
  • your compliance obligations,
  • your submissions to jurisdictions,
  • your violation of these Terms or law.

16) Suspension and Termination

We may suspend or terminate your account if you violate these Terms, or if necessary for security or legal reasons. You may terminate by canceling your subscription.

17) Dispute Resolution; Binding Arbitration; Class Action Waiver

Any dispute arising out of or relating to these Terms or the Service will be resolved by binding arbitration administered by the American Arbitration Association (AAA) under its Consumer Arbitration Rules. The arbitration will take place in Fulton County, Georgia, unless you and PermitPilot agree otherwise.

YOU AND PERMITPILOT AGREE THAT EACH MAY BRING CLAIMS AGAINST THE OTHER ONLY IN AN INDIVIDUAL CAPACITY AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY PURPORTED CLASS OR REPRESENTATIVE PROCEEDING.

You may opt out of arbitration within 30 days of first accepting these Terms by emailing support@permit-pilot.io with subject "Arbitration Opt-Out" and your name and account email.

18) Governing Law

These Terms are governed by the laws of the State of Georgia, excluding conflict-of-law rules.

19) Changes to These Terms

We may update these Terms from time to time. The "Last Updated" date will change. Continued use of the Service after changes constitutes acceptance.
